firmee User Manual

This manual explains the basic operations of firmee for legal department users, covering everything from logging in to creating and managing matters, searching, and managing contacts and your organization.

NOTE

The screenshots in this manual were taken with the interface language set to English (you can switch the language from the top bar after logging in). Some data and a few screen elements may still appear in Japanese depending on your environment.

SECTION 01

Login

Legal department users sign in with a passwordless magic link.

Sign in with your email address

Open the login page https://app.firmee.com/login to display the magic-link login screen.

Enter your email address and click “Send Magic Link”.

A login link is sent to the address you entered (the link is valid for 30 minutes). Click the link in the email to complete the login; the matter list is displayed.

New users: ask your department administrator

If you do not have an account yet, you cannot register one yourself. Ask the administrator of your department to register (invite) you. Once invited, you will receive a registration email and can log in following the steps above.

SECTION 02

Creating Matters

You can create a matter manually from the top bar, or let AI create one for you by scanning a document.

Create manually (select a matter type from the top bar)

Click “+New” at the top of the screen and hover over “Matters”.

From the matter types displayed — “Litigation, etc.”, “Arbitration”, “Other out-of-court dispute resolution procedures”, or “Serious trouble” — choose the type you want to create. The new matter form opens.

Register the parties. Pick an existing contact via “Search by name, firm name, etc.”, or create a new one with “Create new”. Fill in the required fields such as the matter name and the lawsuit amount.

Click “Register” to create the matter; its details screen is displayed.

Create with AI (document scan)

AI can read complaints, answers, petitions, and other documents and create the matter from their contents.

Open “+New” → “Matters” → document scan to show “AI Document Analysis — Matter Registration”.

Upload a legal document (PDF, Word, or image) and click “Start Analysis”.

Review and edit the matter and contact information the AI extracted, then click the register button to register everything at once.

NOTE

This feature uses an external AI API and may not be available in every environment.

SECTION 03

Opening Matter Details

Adding information to a matter or checking its status starts from opening the matter details screen.

Click the “Matters” tab at the top of the screen to display the matter list.

In the list, click the matter name of the matter you want to view; the matter details screen opens. The operations that follow all start from this screen.

SECTION 04

Adding Information to a Matter

Starting from the matter details screen, you can edit the matter and add progress notes, tasks, and events.

Editing

Open “Edit” on the matter details screen.

Change the contents.

Click “Update” to save.

Adding progress notes

Progress is recorded as notes (memos). Legal department users choose the progress type from “Substantive” and “Procedural”.

From the “New” action on the matter details screen, choose “Progress” to open the entry form (the matter is linked automatically).

Enter the subject, progress type, and content.

HINT

If you set “Email notification?” to Yes, a notification is sent to all involved departments and staff.

Save with “Register”; the note appears in the progress list on the matter details screen.

Adding tasks

Manage what needs to be done by setting an assignee and a due date.

Open the task entry form.

Enter the subject, due date, assignee, and notes.

Save with “Register”.

Adding events

Register court dates, meetings, and other appointments.

Open the event (court date) entry form.

Enter the start date and time, courtroom, notes, and so on (you can also choose to create a video conference).

Save with “Register”.

Managing involved departments

The departments involved in a matter can be added and reviewed from “Involved departments” on the matter details screen.

Click “Involved departments” in the actions at the top of the matter details screen.

The management screen for involved departments opens. Choose departments and staff from the 「事務所内」 (in-house) and 「事務所外」 (external) tabs and click “Register” to add them as involved departments. Departments already registered are shown in the related list below.

SECTION 06

Preparing Parties and Opposing Parties (Managing Contacts)

Registering parties and opposing parties as contacts in advance lets you link them quickly when creating a matter. At the top of the contact list you will find “Create new”, “Create address label”, and “CSV export”.

Create from the form

From “Create new”, choose the kind of contact (Individual / Corporation/Government agency / Legal professional) to open the form. At the top, select the attribute — Party, Opposing party, Business partner, or Other.

Enter the name (family name, given name, kana reading) and the contact information.

Save with “Register”; the contact details are displayed.

HINT

Once registered, a contact can be reused in the Parties field when creating a matter by searching for the name or company. Registering recurring parties and opposing parties in advance makes matter registration smoother.

Add from a business card

Upload an image of a business card and AI reads it to create the contact.

NOTE

This feature uses an external AI API and may not be available in every environment.

Export

Use “CSV export” at the top of the contact list to export the list in CSV format.

SECTION 07

Organization Management

ENTRY

Organization management is done from the organization (department) screen: open Settings (⚙) → Profile → click your own organization name.

Adding departments (request to firmee)

New departments (organizations) are not added by users themselves — they are added by request to firmee (the support desk). Please contact firmee if you need a department added.

Adding staff (sending an invitation email)

firmee distinguishes between two kinds of users:

Staff user (shown as “Secretary” on some screens)
Represents an individual. Day-to-day work — registering matters, progress notes, tasks, and events — is done with this user.
Department user
Represents the department itself. Used for department-wide operations such as adding and managing members (staff).
NOTE

Adding staff must be done while logged in as the department user (not the staff user you use for daily work).

Open “Add secretary” on the profile screen.

Enter the name and authentication email address, then click “Send invitation email to this address”. The invitee receives a registration email and can log in following the steps in “1. Login”.

Matter counts

In “Matter management” on the organization details screen you can see matter counts (all / ongoing / closed) for the whole organization and per department. The number in parentheses is the number of matters for which that department is the department in charge.

Administrative rights and access settings

  • In the members section of the organization details (“Affiliated lawyers” = departments, “Secretaries” = staff), you can set members’ administrative rights (users with permission can click the checkbox to change them).
  • Access policies (e.g. “Secretaries can access all contacts”) are shown under “Other settings” on the organization details.

Registering templates

Register frequently used document templates (.docx) so they can be used when generating documents.

Open “Document creation template” on the organization details screen.
